Company

Our client is a diverse financial institution with licensed entities specializing in international securities brokerage, asset management, and external asset management services. In order to support the company’s expansion and

continuous improvement, our client is looking for a talented and dynamic professional to join them as Office &Admin Manager.

 

Responsibility:

• Implement and coordinate office administration and procedures to ensure the organization operates effectively, efficiently, and safely.

• The Office Manager is tasked with developing communication protocols within the office, streamlining administrative processes, supervising staff, and assigning tasks.

• Manage reception duties by professionally answering incoming calls, scheduling appointments, handling client emails, and directing them to the relevant team members. Distribute information and correspondence as necessary.

• Welcome visitors by greeting them and directing them appropriately.

• Provide updates on office progress to senior management and collaborate with them to enhance office operations and procedures.

• Track office expenditures and manage the budget, organize the office layout, and ensure adequate supplies of stationery and equipment.

• Arrange short-term housing for staff working at remote locations.

• Organize business travel arrangements, including booking flights and accommodations.

• Perform any additional ad-hoc tasks as required by management.


Requirement:

• Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor’s Degree in Business Studies/Management/Administration/Secretarial/Commerce or equivalent.

• Energetic professional who is capable to wear multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with minimal

supervision.

• Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

• Excellent time management skills and ability to multi-task and prioritize work.

• Strong communication, organizational and planning skills.

• Presentable & well-groomed.

• Able to join immediately will be an advantage
