About the Role

Our client is seeking a highly organized, proactive, and resourceful Executive Assistant to the CEO to provide comprehensive executive and business support.

More than a traditional administrative role, you will act as a trusted partner to the CEO, helping manage priorities, coordinate stakeholders, oversee follow-ups, and support strategic initiatives.

This role is ideal for someone who thrives in a fast-paced environment and enjoys working closely with senior leadership.

 

Key Responsibilities

Executive Support

  • Manage the CEO's calendar, meetings, travel arrangements, and daily priorities.
  • Prepare agendas, presentations, reports, and briefing materials.
  • Attend meetings when required, record minutes, and track action items.
  • Monitor deadlines, commitments, and follow-ups to ensure execution.
  • Handle confidential information with discretion and professionalism.

Stakeholder & Business Coordination

  • Serve as a key liaison between the CEO and internal/external stakeholders.
  • Coordinate communications with senior management, clients, and business partners.
  • Follow up on key action items across teams to ensure timely completion.

Project & Strategic Support

  • Assist with strategic projects, business initiatives, and special assignments.
  • Conduct research and prepare summaries, reports, and presentations.
  • Track project progress and support the CEO in meetings, reviews, and business engagements.

Administrative & Personal Support

  • Coordinate travel, accommodation, and itineraries.
  • Provide support on selected personal administrative matters when required.
  • Assist with corporate events and business functions.

 

Key Requirements

  • Bachelor's Degree in Business Administration, Management, Communications, or a related field.
  • 2-4 years of experience in an Executive Assistant, Personal Assistant, Executive Coordinator, Chief of Staff, or similar role.
  • Experience supporting a CEO, Founder, Managing Director, or senior executive is preferred.
  • Strong organizational, communication, and time-management skills.
  • High attention to detail with the ability to manage multiple priorities.
  • Proficient in Microsoft Office (PowerPoint, Excel, Outlook).
  • Fluent in English; Bahasa Malaysia and/or Mandarin is an advantage.
  • Professional, discreet, and comfortable interacting with senior stakeholders.
