Our client is a reputable company in the E Commerce (Wellness & Beauty) industry. In order to support the company’s expansion and continuous improvement, our client is looking for a talented and dynamic professional to join them as Personal Assistant to Executive Office.
Job Responsibilities
Assist the senior management team of the Executive Office by ensuring smooth handling of administrative tasks, thereby enabling them to dedicate their attention to strategic functions.
Primary Responsibilities
Time/Calendar Management, Claims Management, Travel Requests & processing, Liaison with internal/external stakeholders
- Organize and manage senior management team's meeting schedules, appointments, and meetings.
- Accompany senior management team members to internal and external meetings, as well as site visits.
- Handle communication with various stakeholders:
- Take meeting minutes, provide summaries, and distribute information and action plans to participants.
- Ensure deadlines are followed up on and reminders are sent to senior management and meeting participants.
- Gather feedback and updates to prepare for upcoming meetings.
- Assist in managing special assignments and projects as directed by the Executive Office.
- Coordinate with different departments to process requirements and requests from senior management.
- Manage travel requests and arrangements for company employees after obtaining approvals, including visa and work permit applications for business travelers.
- Prepare reports and documents needed for meetings and presentations.
- Conduct research for senior team members as required.
- Process personal claims for senior team members.
- Arrange refreshments/snacks for meetings and purchase meals and drinks for senior management as needed.
- Provide support to other teams organizing company events.
- Maintain confidentiality and discretion in all matters.
Job Requirements
- Maintain smart, polished corporate image at all times including dressing appropriately for the role as a representative of the Executive Office
- Diploma/Advanced/Higher Graduate Diploma in Business Studies/Administration/Management or related field.
- Minimum 3-5 years of experience in a similar role, specifically dealing with supporting senior executive-level stakeholders.
- Diploma/Advanced/Higher Graduate Diploma in Business Studies/Administration/Management or related field.
- Proven ability to take meeting minutes and prepare reports.
- Flexibility to attend occasional after-work events when needed.
- Proficiency with computers, especially Microsoft Excel and Office
- Proficiency in English and Bahasa Malaysia, both written and spoken.is essential
- Ability to communicate/read & write in Mandarin is an added advantage.
- Great interpersonal skills and confidence to engage with investors, clients and internal parties at all levels.
